Reminders
Email the checklist owner on a daily, weekly, monthly, or one-time schedule.
A reminder emails the checklist owner. It does not email the person who checked a task. An email when someone else finishes a run is in See every run.
Reminders are on Pro. On a Free plan the checklist shows an upgrade note instead of the form.
Add one
- Open the checklist. The Reminders card is on the right, under Share.
- Name it so the email is obvious. “Close the classroom” is clearer than “Reminder”.
- Choose Daily, Weekly, Monthly, or Custom date.
- For a custom date, set the date and time.
- Click Add reminder.
The list under the form shows the name. × removes that reminder.
When the email goes out
Checkli looks for due reminders about once an hour. The message subject is “Reminder:” plus the name you entered. The body names the checklist and includes a link to open it. The email goes to the checklist owner.
- Daily sends about a day after you add it, then about once a day.
- Weekly waits about seven days, then repeats.
- Monthly waits about thirty days, then repeats.
- Custom date sends once, after the time you picked, and then stops. Choose a time in the future. A time that has already passed when you click Add reminder is skipped, because the reminder was saved after that moment.
Adding the reminder does not send an email immediately. The first daily email arrives on the next day’s hourly check, not the moment you save it.
Example
The lead adds a reminder named “Close the classroom” and chooses Daily on the “Classroom closing” checklist. The next afternoon she gets one email with that subject and a link back to the checklist. She starts a process from there. She does not get a second email because the substitute checked a task. She gets the next one about a day later.
For a one-time field trip, she would choose Custom date and set tomorrow at 7:00am. That email sends once.
What a reminder is not
- A due date on a single task. That date shows on the task. It does not send this email.
- A notice that a guest finished the process. Completion stays on the Processes page and on the run itself.
- A message to the assignee or the guest. The recipient is the checklist owner.
